Where AI and automation actually overlap in a real business, with concrete examples instead of buzzwords.
AI and automation are not the same thing
Automation follows a fixed rule — if X happens, do Y. AI makes a judgment call where the "right answer" depends on context. The most useful business systems combine both: automation handles the repetitive trigger, AI handles the part that needs judgment.
1. Routing and triage
Instead of a person reading every enquiry and deciding who should handle it, an AI step classifies and routes it — while the actual notification and follow-up reminder is plain automation.
2. Matching and ranking
Connect's Jobs board uses Smart Match to rank listings by distance, category fit and recency; its Instant Help side uses wave-based dispatch to notify the nearest verified partners first, widening the radius automatically if nobody responds. Two different mechanisms, both are examples of AI-assisted ranking layered on top of an automated notification system.
3. Verification instead of manual review
Edu360 checks a teacher's device location against the school's campus boundary before accepting an attendance check-in — a verification step that replaces a manual "does this look right?" review with an automatic, consistent rule.
4. Document and data extraction
Reading an ID document or a form and populating structured fields automatically — planned for Edu360's admissions flow — removes retyping, which is both the most tedious and the most error-prone manual step in most back-office processes.
Where to start
The best starting point is rarely "add AI" — it's identifying the one manual decision your team makes most often, then working out whether it's a rule (automate it) or a judgment call (that's where AI actually helps). See our guide to what's worth automating for the rule-based side of this.
